Principles of the Technology Team at Suffolk County General Service

Workshops/Meetings Guidelines
At the March 22, 2024 meeting a motion was passed to implement guidelines for workshops.

To best support the county the tech chair requires the following information to accurately post information to the Suffolk County General Service website.
- Title of the workshop//event
- Description of the workshop
- If SGS is co-sponsoring with another entity (Intergroup, SENY, Al-anon etc.)
- If SGS is being co-sponsored what is the other entity contributing
- Date of workshop
- If multiple dates provide all dates of the reoccurring meetings
- Time (start/stop)
- Type of meeting (in-person or virtual-only or hybrid (in-person AND virtual)
- If virtual-only or hybrid, the tech team will provide an online meeting ID / Passcode and meeting link.
- Physical location if in person (Address ONLY)
- Any costs involved.

Confirm with the Area Calendar and County calendar that nothing else is happening at the date and time

Mailchimp Commitment 2025
Suffolk County General Service employs the use of a tool called Mailchimp for mass mailings of information to the county, GSRs, etc. Here is a link to the Mailchimp Website for more information.
- Monthly Activity/Commitment
- Receive requests, work with the requester on content, obtain approvals from DCMC and Recording Secretary on content if mailing is appropriate to be sent to the county, create the Mailchimp campaign, and send
- Work with other members of the tech team on questions related to ANYTHING about how to use Mailchimp before sending messages
- Delegate activity/effort to another Tech Team member if unable to fulfill the request (Ask for help).
- Share experience in monthly meetings on how to improve the process of using Mailchimp

Website Management and Maintenance Commitment 2025
The tech team meets regularly to discuss overall website management and maintenance. These meetings cover various aspects of website management and event planning, including demonstrations on creating and publishing events, modifying web pages, and handling document sharing. Discussions also touch on email campaign effectiveness, the usage of the company’s website, and challenges with posting reports and materials on different platforms.
The website’s management can be complicated, so we strive to keep things simple. We will start off with an event and monthly minutes management rotation.

Other items around overall Website Management will come up that we will handle Ad Hoc. The tech team will be all hands to configure and manage the Unity Breakfast for 2026, which starts towards the end of the year. Contact techteam@aasuffolkgs-ny.org for assistance and information
When there is a request that comes in from any method (email, text, carrier pigeon, smoke signals, phone call, etc) the receiver should send an email to techteam@aasuffolkgs-ny.org stating the request and letting the rest of the team know (communicate) and ask for help if needed for the request.
We will continue to have tech team meetings, during which we will discuss the Monthly/Yearly activities needed to support the website aasuffolkgs-ny.org and the rotation there. More to come on that.
